OVERVIEW OF ROLE
The Corporate Legal Assistant / Paralegal provides practical, effective and cost-efficient legal and administrative support to the company’s various departments by coordinating, handling and resolving legal issues with company management and outside counsel and to maintain the department’s legal function through general administration, with supervision from the Director, Legal and Risk Management. This role provides legal and general administrative support to all operating companies in the North America region and the annual base salary range for this role is 68,000 – 88,000, depending on experience.
RESPONSIBILITIES
Administrative:
- Organize and maintain filing systems for legal correspondence and documents, both digitally and in hard copy, ensuring easy accessibility.
- Administer legal intake, case tracking, and calendaring
- Process department invoices and support the legal department budget.
Corporate Governance:
- Assist in the implementation and management of corporate governance practices and procedures.
- Maintain accurate records and ensure proper filing of corporate documents with government agencies.
Contract:
- Support intake, negotiations, summaries, and execution, ensuring contracts comply with company policies and legal requirements.
- Oversee organizational use of transactional contract templates, including NDAs, and standardized compliance forms.
Litigation:
- Handle calendaring for litigation deadlines, court appearances, and other key dates.
- Assist with discovery requests, including gathering, reviewing, redacting, and producing relevant documents.
Trademark:
- Provide support in the management and protection of the company’s intellectual property portfolio.
Marketing Support:
- Review labels, advertisements, and other marketing materials, creating marketing guides for reference.
Privacy:
- Organize and update Company data map, retention records and other relevant policies.
- Ensure timely destruction of records that pass retention timelines.
Employment Compliance:
- Manage employment-related tasks such as updating minimum wage and salary reference charts.
- Facilitate immigration filings and processing.
Insurance Management:
- Coordinate insurance renewals, claim tendering, and monitoring, working closely with adjusters.
- Support the administration of the commercial insurance program, including collecting information for applications and managing chart of policy coverage.
- Request or provide certificates of insurance.
REQUIREMENTS & QUALIFICATIONS
- Minimum two years legal secretarial litigation and/or transactional experience in a corporate legal department for CPG company
- Comply with Paralegal Code of Ethics and Professional responsibility
- Strong writing and organization skills
- Advanced proficiency in Microsoft Applications required
- Familiarity with Adobe and DocuSign preferred
- Creative and artistic background preferred
- Notary Public commission and Paralegal certificate a plus
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to sit, stand, communicate (typically by talking, listening, writing, and typing), move around the office to various locations for meetings and in-person gatherings, and reach or carry materials with arms and hands.
Moreover, the employee is required to operate telephones, computers and other standard office equipment. Employee may, on occasion, be required to lift up to 35 lbs.
